Legal Document
Effective Date: 25 May 2026  |  Last Updated: 25 May 2026
This policy covers all visitors to zikpro.com and sits within the framework of the UK GDPR and the Data Protection Act 2018.

1. Introduction

At Zikpro, we take your privacy seriously — not just because the law requires it, but because it is the right thing to do. This page tells you exactly what data we collect when you visit zikpro.com, why we collect it, and what we do with it.

Zikpro Ltd is a company registered in England and Wales. Our registered address is 27 Old Gloucester Street, London, WC1N 3AX. Everything we do with personal data falls under the UK GDPR and the Data Protection Act 2018.

Got a question that this page does not answer? Drop us a line at info@zikpro.com and we will get back to you.

2. What Data We Collect

What You Tell Us

If you fill in our contact form, ask for a demo, or message us on WhatsApp or email, we will receive:

  • Your name
  • Your email address
  • Whatever you write in the message box
  • Any other details you choose to include

What We Pick Up Automatically

Like most websites, ours collects some basic technical information in the background when you visit. This includes:

  • Your IP address and browser type
  • The device and operating system you are using
  • Which pages you visited, how long you stayed, and where you came from
  • Cookie and session data

We gather this through standard tools like cookies and Google Analytics. None of it identifies you personally on its own.

3. Why We Use Your Data

We only use your data when there is a clear reason for it. Here is what that looks like in practice:

  • Replying to your messages, demo requests, or support queries
  • Delivering and improving the ERPNext services you have asked about
  • Sending updates or service information — but only where you have agreed to that, or where we have a genuine reason to do so
  • Understanding how our website performs so we can make it better
  • Meeting our legal obligations
  • Keeping the site secure and free from abuse

We do not run any automated decision-making or profiling on your data.

4. Our Legal Basis for Processing

UK GDPR requires us to have a lawful reason every time we process personal data. Depending on the situation, we rely on one of the following:

BasisWhen It Applies
ConsentYou have actively agreed to us getting in touch
ContractProcessing is needed to deliver a service you have requested
Legitimate InterestsWe have a genuine business reason — such as fraud prevention or service improvement — that does not override your rights
Legal ObligationThe law requires us to process the data

5. Cookies

Cookies are small files that sit on your device and help websites remember things. We use three types:

TypeWhat It Does
EssentialThe site cannot work without these
AnalyticsTells us how people use the site — anonymously, via Google Analytics
PreferenceRemembers your settings so you do not have to re-enter them

You can turn off non-essential cookies any time through your browser settings or our cookie tool. Full details are on our Cookie Policy page.

6. Who We Share Your Data With

We do not sell your data. We do not rent it out. The only times your information leaves Zikpro are:

  • Our service providers — companies that host our website, handle email, or run analytics on our behalf. They are all under contract to keep your data safe and cannot use it for anything else.
  • When the law requires it — for example, if we receive a valid legal request from a court or authority.
  • A business restructure — if Zikpro is ever sold or merged, data may transfer as part of that process. Any new owner would be bound by this policy.
  • Frappe Technologies — as an official Frappe/ERPNext partner, we occasionally share limited technical data to meet certification and partnership requirements.

Every third party we work with must meet GDPR standards and provide adequate data protection guarantees before we share anything with them.

7. Sending Data Outside the UK

Zikpro has offices in the UK and Pakistan. If your data is ever accessed or processed outside the UK or the EEA, we make sure the right legal safeguards are in place first — typically standard contractual clauses approved under UK GDPR.

8. How Long We Keep Your Data

We do not hold onto data longer than we need to. In practice:

  • Contact form submissions are kept for up to 24 months. If we end up working together on an ongoing basis, we will keep relevant records for as long as that relationship continues.
  • Analytics data follows the default retention settings of the tools we use, such as Google Analytics.

Once data is no longer needed, we delete or anonymise it securely.

9. Your Rights

UK GDPR gives you a set of rights over your personal data. Here is a plain-English summary of each one:

  • Access — ask us what data we hold on you and get a copy of it
  • Correction — tell us if something is wrong or out of date and we will fix it
  • Deletion — ask us to delete your data in certain circumstances
  • Restriction — ask us to pause how we use your data while a dispute is resolved
  • Portability — request your data in a format you can take elsewhere
  • Objection — push back on processing that is based on our legitimate interests
  • Withdraw Consent — if you previously said yes to something, you can change your mind at any time

To use any of these rights, email us at info@zikpro.com. We will respond within 30 days.

Not happy with how we handled something? You can raise a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

10. Links to Other Websites

Our site links to external platforms including Facebook, Instagram, YouTube, and LinkedIn. Once you leave zikpro.com, this policy no longer applies. Those sites run their own rules and we have no control over them — so it is worth checking their privacy policies before you share anything.

11. Children

Zikpro is a B2B service built for businesses and working professionals. We do not target or knowingly collect data from anyone under 16. If you think a child has submitted data through our site, let us know straight away at info@zikpro.com and we will remove it immediately.

12. How We Protect Your Data

We take sensible steps to keep your data safe — things like HTTPS encryption, restricted access controls, and regular security checks. That said, no system connected to the internet can be guaranteed 100% secure. If something were to go wrong, we would tell you and take action straight away.

13. Changes to This Policy

We will update this page if our data practices change or if the law requires it. The date at the top always reflects the most recent version. It is worth checking back occasionally — though we will only make changes when there is a genuine reason to.
