Non Conformance

Non Conformance (NC) is an observation that can be easily able to be recorded by any individual within the organization to record non-compliance with a specified procedure, specification, or standard. It serves as a formal way of recording deviations that could impact product quality, process integrity, or regulatory compliance.

 

After Quality Procedures are defined, a quality-oriented organization intends to maintain strict conformance to them. Conformance ensures consistent quality of product, repeatable processes, and results compatible with customer requirements. Where procedures are not adhered to, an observation is logged as a Non-Conformance, and it can then be analyzed and addressed to avoid recurrence.

 

In ERPNext, you can define a Non Conformance by associating it with the Quality Procedure against which deviation was found, classifying it based on type or severity, keeping it updated on its status, and recording corrective and preventive measures. The system enables responsibility assignment, closure date tracking, and reporting for analysis.

1. Prerequisites

  • Quality Procedure: One quality procedure must be developed and present in the system. This offers the standard against which the non-conformance is logged.

2. The Creation of a Non Conformance

  1. Either select Quality > Non Conformance or open any Quality Procedure and then click on + on dashboard to input a new observation.
  2. Document observations in detail, including the category of non-conformance, description of deviation, reference documents, and supporting material like attachments or pictures.
  3. Document corrective and/or preventive actions if required. Corrective actions treat the specific problem, whereas preventive actions have the aim of removing underlying causes. These can be allocated to responsible users and due dates.
  4. Assign the status of the Non Conformance upon review, action and closing. ERPNext allows you to track open, in-progress, or closed NCs to have more transparency and responsibility.
