POS Settings

The Point of Sale (POS) settings in ERPNext tell the program how to work. These settings determine what types of invoices can be created from the POS screen, how the accounting system handles cash changes, and how users can use the POS fields and search function. When you set up your POS settings the right way, invoicing runs quickly, accounting entries are correct, and the checkout procedure is swift and easy for both high-volume and retail transactions.

 

In ERPNext version 16, POS Settings are a global setting that impacts all POS Profiles and transactions unless they are adjusted at a more particular level.

Invoice Type Created on the POS Screen:

 

This parameter instructs ERPNext what kind of invoice to make after a sale is finished in the POS.

Sales Invoice (Selected): If you pick this option, ERPNext will automatically produce a Sales Invoice for every POS transaction. This is helpful for organisations who want their point-of-sale (POS) sales to follow the same rules, permissions, and accounting system as their regular sales invoices.

 

POS Invoice (Selected): When you pick this option, ERPNext creates a POS Invoice that works well in busy stores with fast checkouts. POS invoices are usually smaller, faster to process, and preferable for stores where consumers buy products regularly.

 

Note: ERPNext says that using POS Invoice can help speed up POS activities that happen a lot.

 

Record the Change Amount in the Ledger:

 

You can use this checkbox to decide if ERPNext will post accounting ledger entries for the amount of change that clients get back when they pay at the point of sale.

 

What to do:

 

Enabled (Checked): ERPNext produces ledger entries for the amount of money that is returned back to the customer. This makes sure that cash-in-hand and other accounts are always right, even when consumers pay more than what the invoice says they owe.

 

Unchecked: The change amount does not acquire its own entries in the ledger. The approach solely assumes net settlement, which might make accounting easier but might make cash-level accuracy worse.

 

Use Case: If you need to be able to precisely count cash at the end of shifts or business days, turn this option on.
